1. Definitions

Unless otherwise explicitly stated below, the capitalized terms appearing in these General Conditions will have the following definitions:

Air France: Société Air France, a limited liability company with a capital of 126,748,775 euros under French law. Its head office is located at 45, rue de Paris, 95747 Roissy CDG Cedex, France. It is registered with the Registre du Commerce et des Sociétés of Bobigny under the number 420 495 178.

KLM: Koninklijke Luchtvaart Maatschappij NV (KLM Royal Dutch Airlines), limited liability company under Dutch law. Its head office is located at Amsterdamseweg 55, Amstelveen, Netherlands. It is registered with the Amsterdam Chamber of Commerce and Industry under the number 33014286.

Administrator: a Member Company staff member who has been designated by the Member Company to manage its bluebiz account on behalf of the Member Company and to represent the said company in the bluebiz Program framework. It is strongly required to add a second person contact as replacement.

Blue credits: points obtained by the Member Company when purchasing tickets and travelling on Air France, KLM and Participating Airlines and Other Airline Partners, in accordance with the conditions described in bluebiz Publications. The points can be used to obtain bluebiz Rewards.

Bluebiz entry level: minimum turnover per calendar year required in the Bluebiz Statement to entitle the Member Company to earn blue credits in accordance with article 4. The applicable Bluebiz entry level per Country of Membership is available here.

Bluebiz Reward: Bluebiz Reward Tickets, Reward Paid Options and Other Bluebiz Benefits which can be obtained with blue credits, in accordance with the conditions described in Bluebiz Publications

Bluebiz Reward Ticket: ticket issued on Air France, KLM and/or Participating Airlines flights, which can be obtained with blue credits in accordance with the conditions described in Bluebiz Publications.

Bluebiz Service Center: service that can be contacted online via bluebiz.com website (URL: https://www.bluebiz.com/en/service-centre) by the Member Company in order to ask questions concerning the bluebiz Program.

Bluebiz Program or bluebiz: the AIR FRANCE and KLM program reserved for companies whose Employees travel on Air France, KLM, and Participating Airlines; Member Companies can earn blue credits and exchange them for Bluebiz Reward, in accordance with the conditions described in Bluebiz Publications.

Bluebiz Publications: a general term for communication methods used regularly by Bluebiz to provide updates concerning the bluebiz program, such as bluebiz sections on the websites of Air France, KLM and Participating Airlines, or bluebiz e-mails.

Bluebiz Reference: Bluebiz account number created by Air France and KLM. This number is sent to the Administrator of the Member Company when he validates the General Conditions. This account number has to be filed in each booking on behalf of the member Company.

Bluebiz Statement: statement listing all operations performed by the Member Company in the bluebiz program framework and showing the total amount of blue credits.

Commercial Agreement: a contract concluded between Air France, KLM, Participating Airlines and the Company in order to set fare conditions applicable to the employees of the Company traveling on Air France and/or KLM and/or Participating Airlines flights.

Country of Membership: country in which the Member Company is located (and identified with a registration number) and in which it joined the bluebiz program.

Customer Contact: service set up by Air France and KLM on their own websites in order to answer customers questions and accomodate their requests

Date of Entry Into Force: date on which the Member Company enters the bluebiz Program and on which the terms of the agreement enter into force and are communicated to the Member Company by Air France and KLM by a confirmation e-mail.

Employee: a person working as a salaried person of the Member Company

General Conditions of bluebiz: the present General Conditions govern relations between Air France and KLM, and the Member Company.

Member Company: a legal entity that has chosen to participate in the bluebiz program, fulfilled the required conditions, and accepted the General Conditions of bluebiz.

Other Bluebiz Benefits: advantages other than bluebiz Reward Tickets and Reward Paid Options that are obtained with blue credits.

Paid Option: ancillary services provides by Air France and KLM. These products can be purchased with blue credits and are linked to either a booking or a purchase of a Ticket on Air France, KLM and Participating Airlines according to the availability on each airline.

Participating Airlines: airlines participating in the bluebiz Program and using it as a program exclusively intended for businesses; it is possible to earn blue credits and/or obtain bluebiz Reward Tickets on flights operated by these airlines under the conditions described in bluebiz Publications. The list of Participating Companies is subject to change at any time and is available on Air France and KLM websites.

Other Airline Partners: other airlines designated by Air France and KLM as airline partners; it is possible to earn blue credits and/or obtain bluebiz Reward Tickets on flights operated by these airlines under the conditions described in bluebiz Publications. The list of Other Airline Partners is subject to change at any time and is available on Air France and KLM websites.

Travel Agencies: IATA or non-IATA travel agencies or Tour Operators.

2. General Information

2.1. Upon becoming a member of the bluebiz Program, the Member Company accepts the General Conditions of bluebiz and agrees to respect them. Air France and KLM reserve the right to delete or alter the General Conditions, particularly as they relate to the blue credits earning scale, and also to terminate the bluebiz Program in its entirety. Notification of changes made to the bluebiz Program, including changes to the General Conditions, are made through bluebiz Publications and are effective upon notification by Air France and KLM. It is assumed that the Member Company accepts the changes if it does not send a written claim to Air France and KLM within 30 days and/or if it uses its bluebiz account, earns blue credits, or requests a bluebiz Reward in the bluebiz Program framework during this period. If a Member Company does not accept a change, it can terminate its contract as outlined in 2.2. Air France and KLM agree to take all necessary measures to inform the Member Company of changes made to the bluebiz Program or its termination, but Air France and KLM will not be held responsible for any loss or damage resulting from changes or termination.

2.2 If a Member Company wishes to terminate its contract, it must inform Air France and KLM immediately by email and will no longer earn blue credits. Blue credits earned previously can be used within 8 months of contract termination.

2.3. If Air France and KLM terminate the bluebiz Program in its entirety, the Member Company will no longer earn blue credits upon notification of termination. In this case, blue credits earned previously can be used within 6 months of the termination of the bluebiz Program.

2.4 The sale, purchase, brokerage, resale, barter or exchange of blue credits, bluebiz Rewards for any compensation is prohibited; violators, including any passenger using a bluebiz Reward Tickets, Reward Paid Options or Other bluebiz Benefits, shall be liable for damages and litigation costs.

2.5 In case of false declaration, fraud, violation of the General Conditions, or improper use of the bluebiz program, including failure to follow the bluebiz program policies and procedures or instructions from Air France and KLM employees, improper management on the part of the Member Company by its Administrator and/or Employees, and notably in case of difficulty, harassment of Air France, KLM, and Participating Airlines and/or companies affiliated with Air France and/or KLM, Air France and KLM may immediately and by full right

(i) terminate the contract concluded with the Member Company with immediate effect;

(ii) and/or nullify the bluebiz Statement, thus nullify all blue credits earned or bluebiz Rewards unused;

(iii) and when appropriate, request the payment by the Member Company of the full applicable fare for any segment travelled or Paid Options used on any bluebiz Reward that have been fraudulently acquired. If the Member Company transfers its head office outside of the membership country, or if the Member Company ceases its activity for liquidation, or any other reason, Air France and KLM may terminate the terms of the contract with immediate effect and/or nullify the bluebiz Statement and all blue credits earned.

2.6. If a Member Company does not earn blue credits over a period of 36 months, Air France and KLM reserve the right to terminate the contract with the Member Company.

2.7. Air France and KLM will use bluebiz Publications to inform the Member Company of all options for converting blue credits into bluebiz Rewards which are subject to availability and to a capability check at the time of booking. Air France and KLM reserve the right to impose additional conditions at any time for obtaining bluebiz Rewards, notably the right to make changes and/or to increase the number of blue credits needed. Air France and KLM will actively verify that the bluebiz presented to the Member Company as available are, in fact, available. However, Air France and KLM can neither guarantee nor ensure that the above-mentioned advantages will be available.

2.8 In connection with the enforcement of the General Conditions of bluebiz, Air France and KLM reserve the right to take appropriate legal action as it deems necessary against the Member Company, and may recover damages, attorneys’ fees and court costs.

2.9. KLM’s general conditions of carriage, as registered with the Court of The Hague, are applicable to all KLM flights and can be found on www.klm.com.

Air France’s general condition of carriage are applicable to all Air France flights and can be found on www.airfrance.com.
For flights operated by Participating Airlines and Other Airline Partners, the general conditions of carriage for the concerned airline will apply.

3. Membership Conditions

3.1. Only companies that have not already concluded (and/or are not currently negotiating or concluding) a Commercial Agreement and whose head offices are located in the Country of Membership can sign up for the bluebiz program. The company will have to designate an  Administrator during the membership process. This Administrator shall be an Employee of the company signing the bluebiz contract.
The company will complete the membership form available on bluebiz.com or at Travel Agencies. Additionally, the company must accept the General Conditions at this time. Any Employee submitting a membership request form for his or her company confirms that the company has authorized said action.
The Administrator’s email address must be provided during the membership process. All communications concerning the bluebiz program will be sent to this e-mail address.
After the enrolment validated, the Administrator will be invited to name a second contact person as replacement.

3.2 When registering to bluebiz program, the Member Company accepts to receive the bluebiz Communication which is a basic part of the bluebiz Program. The Member Company is responsible for providing Air France and KLM with an active email address, mailing address, to obtain its bluebiz Reference Number, password and bluebiz communications. If a Member Company changes its email address, mailing address, Administrator and/or second contact person, the Member Company shall notify Air France and KLM in writing or by using the bluebiz pages on the websites of Air France, KLM or Airline partners, without any undue delay.

3.3. A company shall only submit one application form for the bluebiz program and shall obtain only one bluebiz Reference Number.

3.4. Travel Agencies (and affiliates) are not allowed to sign up for the bluebiz Program. Employees of Travel Agencies will not be accepted as Administrator on behalf of a company either.

3.5. Once the membership procedures have been performed, Air France and KLM will verify that the conditions to join the bluebiz Program have been met and will inform the Administrator as soon as possible of the company´s acceptance or refusal by email. The Member Company is responsible for the use of its bluebiz Reference Number and password. Air France and KLM reserve the right to refuse the registration of any company which does not fulfil the required conditions for participation in bluebiz program.

3.6. The bluebiz account cannot be transferred, and the Administrator must immediately inform Air France and KLM of any change of address, transfer of its head office outside the Country of Membership, termination of its activities due to liquidation, etc.

4. Conditions for earning blue credits

4.1. The Member Company enrolled in the Bluebiz Program may only earn Blue credits if and when the applicable Bluebiz entry level is reached. Each calendar year, the Member Company’s turnover is calculated based on ticket fares and carrier surcharges stated on all eligible tickets included in the Bluebiz Statement during said calendar year. For the sake of clarity, the Member Company entitled to earn Blue credits in accordance with the above will receive Blue credits based on the Member Company’s total eligible turnover of the relevant calendar year. The applicable entry level per country is published on bluebiz.com

4.2. The Member can earn blue credits on Air France, KLM and Participating Airlines and Other Airline Partners flights as further described in bluebiz Publications. Blue credits will be rewarded to the Member according to the blue credits earning scheme in force on the date of the said flight provided that the following conditions are met:

  • the ticket is paid by the Member Company and is in the name of an Employee of the Member Company;
  • the booking class and fare indicated on the ticket are not excluded from the bluebiz Program;
  • the bluebiz Reference Number must be communicated upon booking and must be registered in the booking files.

Otherwise, issued tickets cannot be taken into account for earning blue credits. Blue credits will be awarded only after the flight has been flown. Bluebiz Reward do not qualify to earn blue credits.

4.3. Flying Blue reward or loyalty program of a Participating Airline do not qualify to earn blue credits.

4.4. Blue credits are valid for 2 full calendar years from the date on which they are credited to the Bluebiz Statement, subject to the conditions defined in article 2 above.

4.5. Blue credits cannot be divided and have no commercial exchange value; they cannot be reimbursed for a monetary value, and they cannot be transferred nor assigned, whether or not for valuable consideration, to another bluebiz account. In case of merger or purchase of the Member Company, blue credits can only be transferred to another bluebiz account with express written agreement from the bluebiz Service Center. Blue credits are credited to the corresponding bluebiz account 6 to 8 weeks following the trip, subject to delays for additional treatment by Air France and KLM. The blueBiz Statement is accessible at any time by the Administrator on bluebiz.com.

4.6. If the bluebiz Reference Number is not communicated during booking, the Administrator can ask for these unclaimed blue credits to be credited to their account using the unclaimed credits request form available on bluebiz.com, up to 6 months after the flight.

Blue credits can’t be credited if tickets have been flown more than three months before the enrolment.

4.7. Tax requirements and/or financial requirements related to bluebiz and/or resulting from the use of bluebiz Rewards are the responsibility of the Member Company.

4.8. Some special fares do not grant blue credits and are excluded from the bluebiz Program by Air France and KLM and Participating Airlines. bluebiz earning scales are provided on bluebiz.com.

5. Conditions for using blue credits

5.1. Except for other explicitly indicated cases, blue credits can only be exchanged by the Administrator for bluebiz Rewards available in the bluebiz program in the name of an Employee of the Member Company and they cannot be exchanged for money, Flying Blue Miles, or other advantages obtained through loyalty programs.

5.2. Blue credits can be exchanged for bluebiz rewards on Air France and KLM websites in accordance with the procedures described in bluebiz publications.

5.3. Bluebiz Rewards can be obtained, depending on flights and/or Paid Options availability, the booking criteria indicated in bluebiz Publications and a sufficient amount of blue credits. The electronic tickets details (e-tickets, EMDs for Paid Options) will be sent to the e-mail address listed in the bluebiz Reward booking file. An e-mail will also be sent to the Administrator to confirm the amount of blue credits debited from the Member Company’s bluebiz account, corresponding to the amount needed for the bluebiz Rewards. Air France and KLM are not liable for the loss of bluebiz Rewards.

5.4. Blue credits can be exchanged for bluebiz Reward Tickets at the public fare, (non-public fares or reduced-fare tickets, such as free tickets, reward tickets, infant, child, military or government tickets, free tickets, and all other tickets for which the ordinary public fare does not apply, are excluded). Air France, KLM and Participating Airlines reserve the right to exclude certain booking classes.

5.5. An Administrator can change and/or cancel bluebiz Reward, if the fare rules allow it, using Customer contact on AF or KL websites.
All change request for bluebiz Reward must be submitted to Customer contact prior to the flight´s departure, according to the fare's rule in force.
Any additional charges for a change can only be paid with a credit card or any other form of payment available but not with blue credits.
Refund requests for bluebiz Reward may lead to a refund of blue credits on the bluebiz account of the Member Company according to the fare's conditions in force. No refund in cash is available. It is the responsibility of the administrator to request reimbursement of blue credits online at the following link: https://www.bluebiz.com/refund

6. Protection of Personal Data

6.1.      The commitment made by AIR France and KLM
The personal data of the Administrator, and any second contact person, collected as part of the Member Company’s participation in the bluebiz program ("Personal Data") is collected and processed by AIR France and KLM, who are jointly responsible for its processing, in accordance with the applicable regulations on the protection of personal data and specifically the provisions of the French “Informatique et Libertés” Law of 6 January 1978 as amended, the Dutch "Uitvoeringswet Algemene Verordening Gegevensbescherming" Law and the General Data Protection Regulation (EU Regulation 2016/679) or “GDPR”. The respective responsibilities of AIR France and KLM with regard to compliance with data protection rules for the bluebiz program are set out in an agreement. 

6.2.      The various types of Personal Data processed
The personal data of the Administrator collected as part of the Member Company’s participation in the bluebiz program is as follows:

  • Surname;
  • First name;
  • Work email address;
  • Telephone number;
  • FlyingBlue number;
  • Date of birth.

6.3.      What do we use your Personal Data for?
Personal Data is collected and processed in accordance with Air France's privacy policy and KLM's privacy policy relating to the performance of the bluebiz program membership contract. In particular, it is used for Program membership and management, relationship management with the Administrator and claims management. In addition, the Administrator's Personal Data is used to send information and communications for business development based on their prior consent. In addition, the Administrator's Personal Data is used to send information and communications for business development based on their prior consent. If they no longer wish to receive information about products and services, they may withdraw their consent at any time by contacting the bluebiz Customer Service department or by unsubscribing from email communication by clicking on the unsubscribe link contained in the email. Lastly, in order to ensure that the Program is used in a compliant manner and to prevent fraud, some of the personal information required to verify the eligibility of the Member Company’s Employees may be collected by AIR France and KLM.

6.4.      Personal Data collected in connection with transport contracts
Personal data collected from Member Company Employees for booking, ticket purchases, and the provision of transport services by AIR FRANCE and KLM, the Participating Companies and the Other Partner Companies, is processed in connection with their respective transport contracts. 6.5.      Who is the Personal Data sent to?
The Personal Data is intended for AIR France and KLM, Participating Companies and Other Partner Companies for the aforementioned purposes and in order to ensure the proper performance of the bluebiz program. As such, it may be transmitted, depending on the circumstances, to recipients established outside the European Economic Area whose country is not considered by the European Commission to provide an adequate level of protection. With this in mind, AIR France and KLM commit to guarantee the protection of Personal Data in accordance with the most stringent rules, in particular by signing contractual clauses on a case-by-case basis, based on the European Commission's template, or any other mechanism that complies with the GDPR.

6.6.      Retention period of Personal Data
Personal data is retained “for the entire term” of the bluebiz program membership contract. In case of termination, it is retained for a period of 6 months after the notification is sent to bluebiz customer service, to allow for remaining blue credits to be used and for 5 years in accordance with the provisions of the French Commerce Code.

6.7.      Rights
In accordance with the regulations applicable to the protection of personal data, the persons concerned by the aforementioned processing operations, specifically the Administrator or the second contact person may exercise their rights at any time (right of access to data concerning them, right of amendment or cancellation, right of objection or limitation relating to processing, right to portability), withdraw their consent regarding the disclosure of business information, or send any questions or complaints, by contacting the bluebiz Customer Service Department. In the event of a request primarily for amendment or cancellation, Air France and KLM reserve the right to retain the Personal Data for a period not exceeding the legal duration set out in Article 6.6 of these terms and conditions.

7. Audit

7.1. Air France and KLM reserve the right to verify the validity of the Member Company´s participation in the bluebiz Program at any time, without informing the Administrator beforehand. These verifications aim to help Air France and KLM guarantee compliance with the General Conditions of bluebiz program and detect fraud.

7.2 Upon request of Air France and KLM and in order to check the eligibility of any ticket on which blue credits are earned or of any person who benefits from bluebiz Rewards, the Member Company shall supply:

(i) valid proof of identity;

(ii) proof that the tickets were effectively paid by the Member Company and were issued in the name of an Employee of the Member Company;

(iii) or any other documentation to verify such eligibility.

Failure to do so within a reasonable period as set by Air France and KLM will automatically lead to suspension or termination of the contract with the Member Company, as indicated in article 2.5.

7.3. If irregularities and/or violations are observed during verification, Air France and KLM are authorized to suspend earning and using blue credits, in a unilateral way, until the irregularities and/or violations have been treated satisfactorily for Air France and KLM. Air France and KLM are authorized to terminate the contract as indicated in article 2.5.

8. Responsibility and applicable law

8.1. Air France and KLM cannot be held responsible for unauthorized membership, improper use of the bluebiz program and/or fraudulent acts committed by Administrators. In case of irregularity, the Administrator in question must immediately ask bluebiz Service Center to block the account of their Member Company. The Member Company will be held responsible for all (alleged) improper use of the bluebiz account, such as the unauthorized use of blue credits. Air France and KLM will take no responsibility of any kind for damage, delays, loss, injuries, or deaths related to or resulting from the services or benefits provided or not by AIR FRANCE, KLM, Participating Airlines and Other Airline Partners, unless these damages or losses are caused by negligence on the part of Air France or KLM or an intentional act while knowing that these damages could occur, except for other measures stipulated by the Warsaw Convention (amended version) or the Montreal Convention, depending on the case. Air France and KLM cannot be held responsible for any loss or damage resulting from the termination of the bluebiz program or any changes made to it.

8.2. The bluebiz program is governed by French law and any resulting litigation will fall into the exclusive jurisdiction of the Tribunal de Commerce of Paris, except for other measures outlined by applicable law notwithstanding the law and jurisdiction applicable to the contract. Local legislation may impede Air France and KLM from offering all or part of the bluebiz program in certain countries or to certain companies; Air France and KLM cannot be held responsible when acting in compliance with legislation and reserve the right to terminate contracts with Member Companies and/or nullify blue credits.

8.3. These General Conditions are prepared in the French language. Though translated, only the French version is legally binding.

9. Claims

9.1. Despite the precautions taken by Air France and KLM in the framework of the bluebiz program, all claims made by a Member Company concerning all or part of the bluebiz program must be submitted to bluebiz Service Center (URL: https://www.bluebiz.com/servicecentre). For claims concerning bluebiz Rewards, the Administrator must inform bluebiz Service Center within 6 months after using the bluebiz Reward.

9.2. Information concerning bluebiz contacts is available on the local websites of Air France, KLM and Participating Airlines.
